Background

Before

We support setting up the monthly budget for effective budget control and provide daily spending caps for pacing the spending.


Now

You can set up both monthly and daily budgets for effective budget control. Our system offers automatic daily caps and dynamic pacing for the monthly budget.


Purpose

Our goal is to help you prevent hotels from overspending and minimize underspending caused by static daily pacing.


Benefit

Through the automatic daily cap and dynamic pacing, we effectively reduce underspending, improve budget utilization, and provide you with increased flexibility in budget management. Additionally, this approach reduces the need for frequent maintenance of a budget control algorithm.

How to Do

1. Change the Budget

    a. Monthly Budget

For Expedia/Booking, you can manage your Chain both in Click and in HMP if you have connected with our HMP system.
Total budget via Click.
Hotel budget and central budget via HPM.

    Using Click

Monthly budget management is done, and the ‘Central Budget’ and ‘Hotel Budget’ are irrelevant in this case. The Central team can directly edit the ‘Total Budget’, with a default blank value and a minimum of 20.


The balance must exceed the budget amount to sustain until the end of the entire budget period.

     



    Using HMP

For the monthly budget management via HMP, there are three budget fields in the list of Click. 

    - Hotel Budget

    - Central Budget

    - Total Budget


-   The ‘Central Budget’ can be edited by the central team. 

-   The ‘Hotel Budget’ is submitted from HMP and cannot be edited by the central team.

     (Please refer to this document on how to use HMP for hotel budget management)

-   The ‘Total Budget’ is the sum of the ‘Central Budget’ and ‘Hotel Budget’ and can only be viewed.

-   Additionally, the existing balances of each fund source will be displayed as a reference for you to set up the corresponding budget amount.


    i. No budget

    When the value of ‘monthly budget-cost’ reaches 10, you will receive a "No Budget" notification, and the hotel's status will be set to ‘No Budget’.

If you reset the budget amount, the hotel will automatically switch to the "Active" state in the Channel.


    ii. Pacing

Automatic daily cap and dynamic pacing

To prevent overspending, we automatically set a daily cap calculated based on the monthly balance instead of the monthly budget. The daily cap = monthly balance/remaining days. 


On day 1, the monthly budget aligns with the monthly balance, and the daily cap ensures an even distribution of the budget in case a hotel hits the cap every day.


By implementing automatic daily caps, we will ensure that high-demand hotels won’t exhaust their monthly allowance within a few days.


Reduced underspend and improved budget utilization

The automated calculation of the daily cap based on the balance ensures that there is no underspend left unutilized daily. 



For Trip

Setting a monthly budget is currently not supported. However, it may be updated in the next version if there is a demand. 



b. Daily Budget

You can set up a daily budget to pace spending via Click. 


For Expedia

There are two options:


It is necessary to set up a daily budget separately for “Hotel” and “Package”.

  -  The minimum value allowed for the daily budget is 5.

to   -  The budget cannot be set less than the minimum target amount.

  • Combined



You only need to set up a total daily budget that applies to both “Hotel” and “Package” simultaneously. 

      -     The minimum value for the daily budget is 5.

      -     The budget cannot be set to less than the minimum target amount.


For Booking

There is only one option:


You only need to set up a total daily budget for the hotel, and the minimum value allowed is 5.


For Trip

There is only one option:


You only need to set up a total daily budget for the hotel, and the minimum value allowed is 1.


2. Bulk upload format change in file

You need to fill in the ‘Budget Cadence’ column with either ‘Monthly’ or ‘Daily’.




Need Know

1. The minimum spend target

For the daily budget, the minimum spend target should not exceed the daily budget multiplied by 30.4 days. 



2. No Balance

If the total balance of a hotel reaches 0, it will be paused on the channel.

However, if the balance is replenished, the hotel will be re-enabled on that channel.

Hotels won’t be paused until their balance is completely depleted.
